Terms of Service

In short: Invoicing HQ is provided by TajiTech. You own the documents and customer records you create. Paid plans renew until you cancel, cancelling keeps your access until the end of the period you paid for, and payments are not refunded except as set out in our Refund Policy. If a subscription lapses, your account becomes read-only — you never lose access to your own invoices and receipts.

1. Who we are

Invoicing HQ (the “Service”), available at https://invoicinghq.com, is operated by TajiTech, a business based in Kenya (“we”, “us”, “our”). These Terms of Service (“Terms”) are an agreement between us and you, the person or business using the Service.

By creating an account or using the Service you agree to these Terms, our Privacy Policy, Refund Policy and Cookie Policy. If you use the Service on behalf of a business, you confirm that you are authorised to bind that business to these Terms.

2. The Service

The Service lets you create and manage quotations, invoices and receipts, keep customer records, use document templates and download documents as PDFs. Promoting a quotation to an invoice, or an invoice to a receipt, creates a new linked document rather than overwriting the original.

We may improve, change or discontinue features from time to time. If we remove a feature that is material to a paid plan, we will tell you in advance.

3. Your account

  • You must be at least 18 years old and able to enter into a binding contract.
  • Give accurate information and keep it up to date.
  • Keep your password secure. You are responsible for activity under your account. Tell us promptly at support@invoicinghq.com if you suspect unauthorised access.
  • You may sign in with email and password or with Google.

4. Your content and your customers’ data

You own the content you put into the Service, including company details, customer records, quotations, invoices, receipts and templates (“Your Content”). You give us a limited licence to store, process and display Your Content only as needed to run the Service for you.

When you add information about your own customers, you decide what is collected and why: you are the data controller for that information and we process it on your behalf. You are responsible for having a lawful basis to share it with us and for the accuracy of the documents you issue, including tax amounts and compliance with tax rules that apply to your business. The Service is a record-keeping tool; it is not tax, accounting or legal advice.

5. Acceptable use

You agree not to:

  • use the Service for fraud, including issuing false or misleading invoices or receipts;
  • break any law, or infringe anyone’s rights;
  • upload malicious code, or try to access accounts, data or systems that are not yours;
  • probe, scan or load-test the Service without our written permission;
  • resell or sublicense the Service, or copy it to build a competing product.

6. Plans, allowances and billing

Plans

New accounts start on the Free plan. Paid plans and their prices are listed on our pricing page. Each plan includes a monthly allowance of documents (quotations, invoices and receipts count together). When a paid plan reaches its allowance you can add a one-time extension once per billing period, or upgrade. The Free allowance resets each calendar month; a paid plan’s resets with its billing period.

Currency

Prices may be displayed in US dollars. Until US dollar billing is available, subscriptions are charged in Kenyan Shillings at the Shilling amount shown alongside each plan and at checkout. The amount shown at checkout is the amount you pay.

Payment and renewal

  • Payments are processed by Paystack. We do not see or store your full card details.
  • Card: your subscription renews automatically at the end of each billing period and your card is charged for the next period until you cancel.
  • Mobile money: subscriptions do not renew automatically. We email a payment link before each period ends, and you pay each period manually.
  • Prices include any taxes we are required to charge, unless stated otherwise at checkout.

Late or failed payment

If a renewal is not paid, you keep full access for a grace period of 3 days after the period ends. After that, your account becomes read-only: you can still sign in, view every document and download PDFs, but you cannot create or edit documents or customers until you pay. We never withhold access to your own records.

Price changes

We may change our prices. For an existing paid subscription, we will email you at least 30 days before a new price applies to you, and you can cancel before it takes effect.

7. Cancellation and refunds

You can cancel a paid plan at any time from Billing in your dashboard. Cancelling stops the next renewal; you keep access until the end of the period you have already paid for. Payments are non-refundable except as described in our Refund Policy.

8. Deleting your account

You can delete your account from Settings. Deletion takes effect immediately, and you can restore the account within 30 days. After that, your personal profile information is permanently removed. Invoices, receipts and related business records may be retained where the law requires us to keep financial records; see our Privacy Policy. Please download any documents you need before deleting your account.

9. Suspension and termination

We may suspend or close an account that breaks these Terms, puts the Service or other users at risk, or is used for fraud. Where it is reasonable to do so, we will warn you first and give you a chance to fix the problem and export your documents.

10. Availability

We work to keep the Service available and your data backed up, but we do not guarantee that the Service will be uninterrupted or error-free. We may carry out maintenance, preferably at quiet times.

11. Disclaimers and liability

The Service is provided “as is” and “as available”. To the extent the law allows, we disclaim all implied warranties, including fitness for a particular purpose. You are responsible for checking the documents you issue.

To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits, revenue or data, and our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law, or your rights as a consumer under Kenyan law.

12. Changes to these Terms

We may update these Terms. We will post the new version here with a new “last updated” date, and for material changes we will email account holders before they take effect. Continuing to use the Service after changes take effect means you accept them.

13. Governing law

These Terms are governed by the laws of Kenya. We will try to resolve any dispute informally first — please contact us. If we cannot, disputes will be decided by the courts of Kenya.
